Grade Sync Pro Privacy Policy

Effective: October 8, 2025

1. Introduction

Miron Consulting (“Grade Sync Pro”, “we”, “our”, or “us”) provides software that tracks grading submissions, order statuses, and inventory analytics. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you visit or use our Services. Capitalized terms not defined here have the meaning given in our Terms of Service.

If you do not agree with our practices, please do not access the Services. We may update this Policy from time to time; changes appear in the Updates section below.

2. Data We Collect

We collect information in three primary ways: (a) information you provide directly; (b) information we gather automatically when you use the Services; and (c) information from trusted partners.

  • Account & contact data. Name, username, email address, phone number, organization, and communication preferences.
  • Operational content. Submission details, inventory records, transaction notes, grading statuses, and any files or images you choose to upload.
  • Billing data. Payment instrument details processed via our PCI-compliant billing partner, plus invoice history.
  • Usage analytics. Device information, log data, IP address, API usage, feature engagement metrics, and diagnostic events used to improve reliability.
  • Third-party data. PSA or marketplace identifiers, shipping metadata, or CRM records provided by you or authorized integrations.

3. How We Use Data

  • Deliver, personalize, and maintain core Service functionality.
  • Provide customer support and respond to requests.
  • Monitor for fraud, abuse, or security incidents.
  • Analyze aggregated trends to improve feature quality.
  • Send transactional updates (for example, grading milestones). Marketing emails are sent only with your consent and always include an opt-out link.
  • Comply with legal obligations and enforce agreements.

4. When We Share Data

We share information only when necessary to operate the Services or as required by law:

  • Service providers. Hosting, payment processing, analytics, communication, and customer success vendors who are contractually bound to protect your data.
  • Team members you invite. Authorized users within your workspace can view data consistent with their role permissions.
  • Legal requests. Courts, regulators, or law enforcement when disclosure is legally required, provided we may challenge or limit the request where appropriate.
  • Business transfers. In connection with a merger, acquisition, or sale, subject to standard confidentiality obligations.

5. Data Retention

We retain personal data for as long as your account remains active or as needed to deliver the Services. After account closure, we either delete or irreversibly anonymize data within 90 days, unless longer retention is required for legal, tax, or audit purposes. Aggregated analytics that cannot reasonably identify an individual may be retained indefinitely.

6. Security

Grade Sync Pro uses administrative, technical, and physical safeguards designed to protect your data. Measures include encryption in transit, isolated production networks, controlled access, vulnerability scanning, and staff security training. No method of transmission or storage is completely secure; we continuously refine safeguards to adapt to evolving threats.

7. Your Rights & Choices

  • Access & export. You may request a copy of your personal data at any time.
  • Correction. Update account information directly in-app or contact us to correct inaccuracies.
  • Deletion. Submit a deletion request; we will remove or anonymize data subject to legal obligations.
  • Preferences. Manage notification settings in your profile or unsubscribe from emails using the provided link.
  • Regional rights. Residents of certain jurisdictions (e.g., the EU/EEA, UK, California) may have additional rights. We honor valid requests consistent with applicable laws.

8. International Transfers

The Services may be hosted in the United States. If you access the Services from outside the United States, you consent to transferring your data to the U.S. and to the application of U.S. law. When required, we use standard contractual clauses or equivalent mechanisms to protect international transfers.

9. Updates to this Policy

We may revise this Policy to reflect product enhancements, regulatory changes, or new data practices. We will post the updated Policy with a revised “Effective” date and, when changes are material, notify you via email or in-product alerts.
